Every morning an AI sales agent scores the new leads, and every Monday it checks which deals have gone quiet. This AI sales agent template installs that as a two-person department in Biilda, a Lead Qualifier and a Pipeline Manager, and by default both wait for your approval before anything goes out.
It suits founders and small teams who want hot leads at the top of the list and stalled deals noticed. Biilda is a free desktop app for Windows and macOS: you describe what you want in chat, and it builds AI employees (its word for an AI agent with a job), skills and scheduled tasks.
What this template does
A two-person sales department: a lead qualifier and a pipeline manager, working from HubSpot, Gmail, and Google Calendar.
Every morning at 8:30, the lead qualifier scores new inbound leads against your ideal-customer profile and drafts a recommended next step for each — a discovery call to book, a disqualification note, or a nurture path — so reps start the day knowing exactly who to call first.
Every Monday at 9:00, the pipeline manager reviews every open deal in HubSpot, flags the ones that have gone stale (no activity, no next step, or a slipping close date), and drafts the specific follow-up each one needs.
Both employees default to asking for approval before sending anything outward (an email, a calendar invite, a CRM update) — you stay in control of what actually goes out.
How does AI lead qualification work in this template?
At 8:30 the Lead Qualifier takes new leads and scores each against fit and intent, using the Lead scoring skill and your ideal-customer profile. For each it drafts a recommended next step: a discovery call to book, a disqualification note, or a nurture path. The Discovery questions skill adds what to ask on that first call, so reps know who to ring first.
On Mondays at 9:00 the Pipeline Manager goes through every open deal and flags the ones with no activity, no next step or a slipping close date. The Follow-up playbook skill picks the cadence step for how long a deal has stalled, and it drafts that follow-up. It also keeps a record, so next week's review re-checks every deal it flagged. This review runs on the Best tier; the daily qualification runs on Balanced.
What do you need to set it up?
The template is built around HubSpot, Gmail and Google Calendar. HubSpot reads "Coming soon" in the Connectors tab and cannot be connected yet, so lead intake from HubSpot and the deal review cannot run until it can. Gmail and Google Calendar connect today.
- Download Biilda and open it.
- Open Templates and find Sales & Outreach.
- Add it in one click.
- Connect Gmail and Google Calendar from Connectors.
- Review what was installed, then switch on what you want. Employees and tasks start off.
Downloading is free and there is no subscription. Credits start at $20, and each task costs what it uses (pricing).
What can you change?
Start with the Lead scoring skill: rewrite it so "fit" describes your customer rather than a generic one. The Follow-up playbook can take your tone for stale deals. After that, the 8:30 start time and the tier on each task are both yours to move, such as dropping the Monday review from Best to Balanced. You can also add only the Lead Qualifier and leave out the Pipeline Manager.
What does it not do?
By default it does not contact anyone or book meetings without your approval; once you approve an action, the Pipeline Manager can take it through the connector. Today that matters mostly in theory, because without HubSpot this is a template to review and set up, not a working CRM loop. It does not replace a rep's judgment on a call. Scheduled tasks run only while Biilda is running, and anything it reads, such as lead emails, is treated as data, never as instructions.
