For a consultant or small agency, an AI team takes the repeat preparation: the weekly status report for each client, the meeting summary, the research brief, the follow-up after a proposal. You keep the thinking and the relationship. Biilda builds the employees from a description, and outbound messages wait for your approval.

Biilda is a free desktop app for Windows and macOS. You describe a job in chat, approve the plan it proposes, and it builds an AI employee (Biilda's word for an AI agent with a defined role) and any scheduled tasks it needs. Several employees together form a department, which suits an agency with distinct functions.

What can an AI team take off a consultant's plate?

Client work has a rhythm: every week the same report, every meeting the same notes, every proposal the same follow-up. The content changes; the shape does not. That is exactly what an AI employee can repeat.

A reporting employee can read the notes and files in a client's folder and draft a weekly status report in your structure. A notes employee can turn raw meeting notes into decisions and next steps. A research employee can prepare a brief on a client's market before a kickoff call. A proposals employee can draft a first version from your past proposals and a short brief, which you then edit properly.

On the inbox side, a triage task can sort email by client and urgency, and a follow-up task can draft a nudge after every proposal or meeting and hold it for your approval. If your team works in Slack, employees can post priorities or finished reports to a channel, and you can message them from Slack too.

Because grants are per folder, you can keep each client's material separate and give an employee access only to the folder it needs.

How does it work in Biilda?

  1. Describe it. "Each Friday, read the notes in the Acme folder and draft a status report with risks first."
  2. Approve the plan. Biilda proposes what it will build, and you refine it if needed.
  3. It builds. The employee, skills and scheduled task are created. A skill holds your report template and house style.
  4. Switch it on. New employees and tasks start disabled until you enable them.
  5. Approve outward actions. Anything sent to a client waits for your sign-off by default.

Skills are reusable, so the report structure you perfect for one client can be used for the next.

What stays private?

Client material is sensitive, so the controls matter. Biilda runs on your computer and keeps files, history and connector sign-ins there. The AI reaches only folders you grant through the operating system's picker and cannot grant itself access. Every overwrite or delete keeps a recoverable copy. Content it reads is treated as data, never as instructions. Drafting does involve an AI service processing the text for each task, so check your client agreements if they restrict that.

What does it cost?

Biilda is free to download, with no per-seat fee and no subscription. You buy credits in US dollars from $20 and pay only for what each task uses. The pricing page lists researching a topic into a report at a handful of credits, drafting and sending a batch of personalized emails at a few credits, and reading through a folder of documents at a few credits per document. You set a spend cap and can watch costs while a task runs. Scheduled tasks run while the app is running.

What does it not do?

Biilda does not connect to CRM, invoicing or project-management tools, and it does not make client-facing decisions. It prepares and drafts; you review, edit and send. That division of labor is deliberate: your clients hire you for your judgment, and the AI's job is to give you back the hours spent on assembly.

How do you start in 30 minutes?

  1. Download Biilda and open it.
  2. Choose one client and one recurring deliverable, such as their weekly status report.
  3. Describe it in chat and accept the plan.
  4. Grant that client's folder.
  5. Run it once and compare the draft with the last report you wrote by hand.
  6. Improve the skill, switch on the schedule, then repeat for the next client.

Do one client first. The pattern you settle on carries straight over.

Frequently asked questions

How can consultants use AI in their business?

Consultants repeat a lot of preparation: status reports, meeting summaries, research briefs, follow-ups and first-draft proposals. In Biilda you describe each job once, and an AI employee does it on a schedule or on demand while you keep the judgment and the client relationship.

What is the best AI for a small agency?

One that separates client work cleanly, asks before sending anything and does not add per-seat fees. Biilda is free to download, has no subscription, and lets you build employees per client or per function, with folder access you grant explicitly.

Can AI prepare client reports automatically?

It can draft them. Point an employee at a client's folder, describe the structure, and schedule it weekly. You review the draft before it goes anywhere, and outbound messages wait for your approval by default.

Is client data safe with an AI assistant?

Biilda keeps your files, history and connector sign-ins on your computer, reaches only folders you grant, and lets you revoke a folder at any time. To draft or summarize, the content being worked on is processed by the AI service behind Biilda for that task, so check that this fits your client agreements.
